It is a pleasure to welcome you to the Norsk Lokalradioforbund National Conference at the Quality Hotel Edvard Grieg in Bergen from March 27th to 30th, 2025. On this page, exhibitors and sponsor partners will find important, useful, and practical information related to the organization of this year's conference.

The Norwegian Local Radio Association’s national conference is the largest and most significant event for local radio in Norway. It brings together the entire local radio industry to discuss the current state, emerging trends, and the future of the radio market. Our sponsor partners and exhibitors are always an essential and valuable part of this gathering.

As an exhibitor, you have the opportunity to engage in direct dialogue with decision-makers interested in your business, products, and services. You will meet dedicated professionals from across the local radio industry. The conference features a total of 16 exhibitors and several other sponsor partners. All exhibitor spots for this year’s conference are already sold out.

How to get to Bergen and Quality Edvard Grieg?

If you are traveling from outside the area and rely on air travel, the easiest and quickest method is to fly into Bergen Airport and then take a taxi to the hotel, located at Sandsliåsen 50, 5254 Bergen, which is approximately 3 km away from the airport.

Ordering accomodation

The conference in 2025 will be held at Quality Hotel Edvard Grieg. Accommodation is not included in the registration fee, and sponsor participants must book their rooms according to their needs. The Norwegian Local Radio Association has negotiated a special rate of 1195 NOK per night for single occupancy in a double room. We can guarantee availability at the conference hotel and offer discounted rates until February 28, 2025.

The Norwegian Local Radio Association can assist with accommodation bookings for sponsor participants if desired. The costs for accommodation will then be invoiced by the association as part of the sponsor agreement.

Registration for exhibitors and sponsors

All exhibitors and sponsors must register upon arrival at the conference. Registration will take place at the hotel’s reception and will be open every day at different times (see below).

Upon registration, exhibitors and sponsors will receive this year’s conference magazine, which includes practical information and special offers from suppliers. Participants will also be given an access card, which must be worn during the entire conference as it serves as access to the professional sessions and certain meals. The affordable registration fee, which all sponsors and exhibitors must pay, includes coffee and lunch each day. Coffee will be served in the mingle area, while lunch will be served in the hotel’s restaurant.

In the pocket of the access card, participants will find tickets for the joint dinners on Thursday and Friday, as well as the gala dinner on Saturday, for those who have pre-ordered. The joint dinners will take place in the hotel’s restaurant, while the gala dinner will be held in the conference hall.

Exhibitors and the exibition area

The exhibition area is located right outside the conference halls, where coffee breaks will also be served. This area provides a great opportunity for participants to take a break while exploring the exhibits. (See detailed map of the area below.)

There are two sizes of exhibition spaces. Gold sponsors have approximately 5 sqm (stands A-F), while silver sponsors have approximately 3 sqm (stands G-P). The standard setup provided by the Local Radio Association includes 2 conference tables (1200mm/720mm/600mm), 2 chairs, and white tablecloths. Each stand has access to a power outlet and wireless internet. The exhibition spaces will not be divided by partition walls. Additional meeting tables and chairs will be provided, allowing exhibitors to freely use them. There is good access to power in the exhibition area, but we encourage exhibitors to bring extra extension cords or power strips just in case.

Setup and Installation
The exhibition area will be open for setup on Wednesday, March 26, from 6:00 PM to 10:00 PM, and again from 8:00 AM on Thursday, March 27. We recommend that the setup be completed before the exhibition area opens to the public. There will be no predefined stand placements, and the «first come, first served» principle will apply. The Local Radio Association will have a staff member available on Wednesday evening and Thursday morning to assist with practical arrangements.

Opening Hours of the Exhibition Area
The exhibition area will open to the public at 10:00 AM on Thursday and at 9:00 AM on Friday and Saturday. This is one hour before the professional program starts in the two conference halls. It is up to each exhibitor to choose the time for staffing their own stand. The exhibition area will close at 5:00 PM on Thursday and Friday, and at 4:00 PM on Saturday.

Sponsors Lounge
All exhibitors have access to a relaxation area where they can unwind, as well as a quiet space to work in peace. The area is located on the second floor, just above the exhibition area, and offers refreshments.

STORAGE OF EQUIPMENT

The exhibition area is part of the hotel’s mingle area and is not separated from other hotel guests. There will be no dedicated security for the exhibition. Each exhibitor must assess the security of their equipment based on its value. Expensive equipment can be locked away and stored in the Sponsors Lounge if desired. Storage of equipment is at the exhibitor’s own risk, and we would like to remind exhibitors that they must ensure they have insurance covering theft or damage.

SHIPMENT TO THE HOTEL

If you need to send technical equipment, exhibition materials, or other items to the conference hotel, it is important that they are correctly labeled so that the hotel’s reception understands the contents of the shipment. The shipment must be clearly marked with «Norsk Lokalradioforbund’s National Conference 2025». The conference hotel will store your items free of charge from receipt until the conference begins.

For any merchandise or technical samples that will be showed during the exhibition, the exhibitors need to clear customs in Norway with ATA Carnet, either by their own forwarder or that they get the carnet stamped at the customs area (red zone) at Oslo Airport. If the exhibitor sends their items with preferred freight forwarder – the goods need to be in Norway and Bergen the 26th of March at latest.

A Carnet or ATA Carnet (pronounced kar-nay) is an international customs and temporary export-import document. It is used to clear customs in 87 countries and territories without paying duties and import taxes on merchandise that will be re-exported within 12 months. Carnets are also known as Merchandise Passports or Passports for Goods.

Submission of marketing materials

As part of our sponsor packages, both exhibitors and sponsors have the opportunity to promote themselves to the local radio industry and conference participants through an advertisement in our conference magazine. The size of the advertisement depends on the sponsor package.

The magazine is handed out to all conference participants and will also be distributed digitally to all members who do not attend the conference.
